Article Summary

Paid Guest Lists

Sometimes you may wish to have guest tickets which issued by one party but paid for by the individuals receiving them. For example you could allocate Festival Pro 10 tickets to your event, but these tickets will be charged at $10.  It is possible to setup your forms to allow Festival Pro to issue the 10 passes to people of their choice, who in turn receive an email to pay for the tickets and upon payment get a ticket emailed to them.

There are two forms in this process, the first is a Paid Guestlist Allocation form. This is where your guest list holder will distribute these paid guest tickets. We then email these nominated people with an autologin link to a secondary form whereby they can pay for and generate their ticket.

Step One - Creating The Allocation Form

The allocation form works much the same as for the Guest Invite Managed form, with a few changes. You can log into config and copy the managed guestlist form and rename it Paid Guestlist Allocation or something similar. The changes we need to make are:

1. Settings-> On Completion - We need to change this form to not send any tickets or confirmation emails

2. On Page 1, Contact Collect Field. - We need to stop this field from generating tickets and we also want to sync the ticket into to the contact entered and send them and email to pay. To do this we will change a couple of settings from the standard guest invite form.

2a - Stop the field from generating tickets by deselecting the checkbox in Ticketing Options

2b - Sync to the ticket type in general accredition. The Max should also be limited

2c - Send an email with a link to the payment form. We do this by clicking the Email Options tab and within it setting the subject for the email and in the body of the email text inserting an autologin link to your Guest Payment Form, which we will create next.

Step Two - Creating the Guest Ticket Payment Form.

In step one we created a form in which the paid guestlist holder will insert names and email addresses to allocate tickets. This next step we will create a new form by logging into config -> forms & events -> new. And create the form which the allocated ticket holder will be sent to.

We need to ensure this form is set to autologin under access options, that payments are set to be taken and tickets generated and on completion we want to send these tickets to the main booker.

The new form will automatically bring in our primary contact fields for this person, If you don't wish them to be able to edit this name, you can set it to 'visable not editable' under field settings -> visability.

We want to create a single ticket type attached to a counter, this counter number range should be set to 1 - 1.  The cost for the ticket should be set under cost options along with any booking fee.  Under Ticketing Options

Under field options we set Max Bookings also to 1.

And that's it!  Now just to ensure that your links in Step One's contact collect email point to this payment form.  And finally you will need to setup a new email template to send to the paid guestlist holders who will be allocating these tickets.  You can copy the Guestlist Invite email template and edit it and repoint the link to the form you created in Step One.
