Every event advances slightly differently, within festival pro the default workflow that is recommended to follow is first to Add you artist to the system, then assign the artist their stage times, accreditation, accommodation, travel etc.. And then to send them their artist advance. 

Festival Pro comes with a default Artist Advance form which you can add to or edit as you require. Here we will go through this form in detail.

On page one in the 'Top Page Text' section is where you can mail merge in all the information you have already set against the artist. Any of the profile fields that are filled in relating to Performance Fee, Stage Times, Flights etc... will be pulled in here by default. You can change and edit any of this information to reflect what your event requires. 

Below this we have all of the fields that come setup by default. You can move the order of these using the hamburger with arrows icon. You can delete anything you do not need and add new fields that you may require.  You will note that under the Options column the Accreditation and Vehicle Holder Name fields are limited to Max : General Accreditation and Max: Vehicle Accreditation. This mean that the user will only be able to input the names for these passes up to the maximum limit you assigned.

There are file upload fields here, if you edit them and go to field options, you can limit the file size that someone can upload, this can help keep your file storage from filling up too fast.  

When you are happy with your form you can prepare to send it to your artists. This form should be set to Autologin Link under Access Form Settings. There is a default email template on all systems called 'Artist Advance'. If you do not use our default form but create your own form from scratch, please ensure that the email template that you send to your artists to access the advance has had the link to the form updated.

Once you begin to receive responses to these forms you will be able to see the completed forms return under Registrations. 

 

If you click the View button next to a registration you will be able to view all the information that has been returned to you in the form. You can view any files that have been uploaded on a form, any information they filled in alongside the names of the accredited persons. 

When viewing an advance registration, at the bottom you have the ability to view the tickets for the accredited persons and also the ability to resend the tickets if they say they haven't received them.  

You can bulk download file uploads such as tech specs via the Export button at the bottom of the registrations list and then the Export Files tab.
